FH- Room Checker: Room Availability App

Project Description

Introduction:

Finding an empty classroom at a university sounds simple, but in practice it can waste a lot of time. Students often walk around different floors trying to find a free room for studying, group work, or meetings just only 5 minutes later to get kicked out because class starts.

The FH Room Checker app was created to solve this problem. It allows students to quickly see which rooms are currently free inside and for how long in the university building and find a place to work without guessing or walking around the campus.

Challenge:

Students at FH JOANNEUM often needed quiet spaces for studying or teamwork, but there was no simple way to check which rooms were available. Most people had to physically walk through hallways or open multiple schedule pages to see if a room might be free.

This caused several issues:

  • Wasted time searching for rooms

  • Confusion around room schedules

  • Students occupying rooms that were actually booked later

  • Lack of a simple digital tool for quick decisions

The goal was to create a simple mobile solution that shows room availability instantly.

Solution:

At Nexos, solving problems starts with understanding users first.

We began by observing how students actually search for rooms on campus and identifying where they lose time or get confused. From there, we designed a simple product that turns complex scheduling data into an easy decision tool.

We conducted user research and user testing, designed the app, and developed both the backend logic and frontend interface.

User Research & Product Planning
We analyzed how multiple students move through the campus and how they currently check room schedules. Additionally conducted interviews with 25 students from different programs to learn more about their issues. This helped us define the core features needed for a quick, practical solution.

UX & Interface Design
Based on our User Research insights we designed a clean interface that allows students to immediately see which rooms are available, filter spaces by building or time, and make decisions within seconds. The final design went through 4 iteration processes and 20 user tests.

App Development
After validating the concept, structure, and interface, we developed the full app and turned the idea into a working mobile solution. The FH Room Checker mobile app was fully developed and integrated with the university’s scheduling systems. This allowed room availability data to be displayed in a simple visual format instead of confusion.

The final product is a lightweight campus utility that turns complex scheduling information into a clear, real-time overview of available study spaces.

Impact:

The FH Room Checker app made everyday campus life smoother by turning room availability into a quick, reliable check instead of a guessing game.

  • Helped students find free classrooms faster for studying, group work, or time between classes

  • Reduced friction by making it easier to avoid upcoming classes ahead

  • Received positive feedback from around 45 students & professors

  • Reached 80–100 daily users, with usage continuing to grow

  • Also supported professors who need to quickly check whether another classroom is available.

Conclusion

FH Room Checker became a real product lesson, not just an interface exercise. It combined UX thinking with full-stack execution: discovering a data source, restructuring it into user-meaningful availability, and refining interaction details that shape trust. The project demonstrated how good experience design often lives in “invisible” logic and state handling, and it was rewarding to see the tool used in daily campus life and adopted into the wider FH ecosystem.
